Check-in Station ( 2 - 3 People ) #

  • This person will be in charge of getting Check-in operational on the day of the event.
  • Checking with Volunteers, Hackers, and Sponsors when arriving.
  • Be sure to be kind and understanding if there is an issue feel free to let ( Tyler ) know so we can mitigate any fallout.
  • Check-in List Hacker
    • Hacker Badge
      • Writing names on badges
    • Team Name
      • If they do not have a team don’t worry just remind them about the team matching channel in Discord and our Team Matching Event.
    • WiFi Password Slip ( One Per Hacker unless authorized )
    • Parking Validation
    • HackUNT Sticker
    • Offer Mask for COVID-19
  • Check-In List Sponsor
    • Name Validation to what is on Click Up
      • If they are not then check with the POC for the Sponsor Table
    • Table Identification
      • Show them to their spaces
    • Sponsor Badge
    • Parking Validation
    • WiFi Password ( One Per Person )
    • Any issues outside of this ( Get Tyler )
  • Check-in Volunteer
    • Verify that the person is registered on our site
    • Verify on the schedule the time of shift
    • Give Volunteer guideline paper
    • Give Volunteer Badge
    • Verify Parking

Info Desk ( 1 - 2 people ) #

  • This person will be in charge of the general questions of the hackers.
    • It is very important that we are knowledgeable about what is going on at the event as events are happening.
    • Keep track of what time it is and what events are happening / where they are happening
  • This station will need to have all cubes and wash up lighting in place by the time of check-in
    • These are for our mentor station and will be how we say if a table is open for a mentor or not.
    • There should be 10 Cubes in total. Keep track of these so they don’t walk off.
    • There should be at least 2 wash-up wall lights in this area.
  • This station will be helping the Other Orgs that will have stations right outside the info desk as well
    • The orgs should not need that much help if any. This is a free tabling event for them to show off what the org does and let them recruit.
    • We will not be providing power for Orgs since they did not request it.
      • The exception is Super Smash Club

Break Area ( 1 person ) #

  • This person is going to be in charge of setting up the Lounge for hackers.
  • This is not a place hackers get to set up for the whole weekend!
  • This person will be in charge of helping set up lights, Team Matching, and dealing with the Smash Club
  • Team Matching:

The team matching event is a time for hackers to meet people and ask people to join them. Figure out a fun way to get the hackers to intermingle with one another.

Food Area ( 2 person ) #

  • This person will be upstairs by the hackers and will be in charge of setting up food for the event.
  • Be sure to grab the hackers in groups as to not flood the line.
  • This person is in charge of making sure we get our food deliveries and picking them up!
    • Rusty Taco ( Delivery by T12:00pm Saturday )
    • Saucy Hibachi ( Pick up for Dinner )
    • Verde Catering ( Delivery for breakfast Sunday )
    • Coffee Cart ( get with Leslie )

Workshop / Sponsor Handler ( 1 - 2 People ) #

  • This person’s job is to make sure our sponsors are ready for their workshops.
  • This person will need to be in charge of making sure they have their slides ready before the workshop and that they are prepared. Just because they are professionals doesn’t mean that they cannot forget things. Be kind, compassionate, and understanding.
  • SILENTLY Notify sponsors in their workshops that they only have 10mins left and that they need to start wrapping up. ( Ask Tyler on Friday to explain. )
  • Grab water/snacks for sponsors at their booths if they request it. Talking with people for hours on end tends to wear out social batteries.

Hacker Area ( 0 - 1 person ) #

  • This person will be in charge of setting up the hacker area and making sure they have everything that they need for their teams.
  • Be sure to divide out the hacker teams by 4 so we do not flood the Food Area.
  • We will be setting up the tables the night before so you will need to check in with hackers, grab power cords, WiFi passwords if they forgot them at check-in, etc.
  • As soon as the workshops start to fire off be sure to announce to the hackers each workshop event.
